A Weave alternative for practices that need new patients, not just a phone system.

Weave is built around your practice management software and the patients already in it. If your problem is an empty schedule rather than a clunky phone, that is a different product.

Short answer

Weave is a phone system wired into your practice management software, strongest with the patients you already have. TheBigBot is built to find new ones: an AI receptionist answering 24/7, lapsed-patient reactivation, reviews and a website, at a published $197 or $497 a month. Many practices run both.

01 · The short answer

Be clear about which problem you are solving.

We will start with the concession, because it decides the outcome for a lot of practices: TheBigBot does not replace a VoIP phone system wired into your practice management software. Weave’s caller pop-ups showing the patient record, its reminders and recall synced out of Dentrix, Open Dental or Eaglesoft, its digital forms writing back into the chart — that integration depth is real, and we do not match it.

If what you need is phones and patient communication tightly coupled to the chart, Weave is a sound choice and you should keep it.

TheBigBot solves the other half. Weave is excellent at talking to the patients you already have. It is not a marketing system for the ones you do not. There is no website, no ad follow-up, no content engine, no new-patient funnel, and the AI answers within the patient-comms frame rather than working a new enquiry like a salesperson.

That is why a lot of practices end up running both, and we are happy to be the second one. Weave keeps the chair-to-chart communication tight; TheBigBot fills the chairs.

02 · Side by side

Weave vs. TheBigBot, honestly.

Two products aimed at opposite ends of the same practice.

What Weave is genuinely good at.

05 · Which one is right for you

Be honest about what you need.

We would rather you pick the right tool than churn in month three.

Stay with Weave if

Your bottleneck is the front desk, not the schedule.

  • You need phones and the chart to be one system — caller pop-ups, chart-driven recall, forms writing back.
  • Your schedule is full and the problem is handling the volume, not creating it.
  • You have Weave hardware deployed and the front desk is fluent in it.
  • You are mid-contract; check your terms before you move anything.
Choose TheBigBot if

Your bottleneck is an empty schedule.

  • New-patient calls go to voicemail after hours and on Saturdays.
  • You have hundreds of patients who have not been in for over a year and no campaign running at them.
  • Your website was built once, years ago, and produces nothing.
  • You want a published price rather than a quote call.
06 · What switching looks like

You may not have to choose.

The most common setup we see in dental is both: Weave keeps running the phones and chart-side communication, and TheBigBot runs new-patient acquisition, reactivation and marketing on top.

That works because the two systems touch different things. Weave owns the front desk and the chart. We own the website, the ads, the new enquiry and the campaign — and hand a booked appointment across.

If you would rather consolidate, we will map out honestly what you would lose. For most practices that is the chart-level integration and the phone hardware, and whether that is acceptable depends entirely on how your front desk works. We will tell you when the answer is no.

Either way, look at your Weave agreement before you cancel anything. Terms are quoted individually and we have no way of knowing yours.

08 · Questions people actually ask

Questions from dental and medical practices.

How much does Weave cost?
+
As of August 2026, Weave’s own pricing page publishes a “starting from $199 per month” figure, and its Pro, Elite and Ultimate plans each require a “Get Pricing” request rather than showing a price. Third-party sites quote higher all-in figures, but the only reliable number is the quote Weave gives you.
Does TheBigBot integrate with Dentrix or Open Dental?
+
Not at chart level. We connect through Zapier, Make or webhooks, which covers moving leads, appointments and contact data, but it is not the same as Weave’s native practice management integration. If chart-level sync is essential, keep Weave — and run us alongside it.
Can I run TheBigBot and Weave together?
+
Yes, and for a lot of practices that is the right answer. Weave handles the phones and chart-side communication; we handle the website, new-patient enquiries, reactivation campaigns and marketing. We will set the handoff up during onboarding.
Do I need to replace my phone system?
+
No. TheBigBot is not a VoIP phone system. The AI receptionist answers calls and routes or books them; your existing handsets and phone provider keep working.
Will the AI sound like a robot to my patients?
+
It is a natural-voice AI and it introduces itself as your practice’s assistant. It answers questions about hours, location, insurance and services, and books appointments — and it hands off to a human for anything clinical. We will play you a live call on the demo so you can judge it yourself rather than take our word for it.
Is it HIPAA-appropriate for patient data?
+
This is the right question to ask, and it deserves a specific answer rather than a marketing one. Bring it up on the demo call and we will walk you through exactly how patient information is handled, what is stored, and what agreements are in place before you put a single patient record in.
